District Flyer Approval and Distribution
Flyer Distribution Procedures
Los Altos School District cooperates with community groups and organizations that sponsor activities of an educational/enrichment nature for students by distributing materials electronically via Peachjar.
All requests for flyer distribution by outside community organizations must first be approved by the District Office. To request flyer approval, follow the steps below. Once approved, your flyer will be emailed to all parents and posted online.

- Upload your flyer for approval
Your flyer will automatically be submitted to the district office. District staff will review the material and approve or deny based on the standards and compliance requirements described below. Peachjar charges a fee for this service to outside organizations that is typically much less than the cost to copy and deliver paper flyers to each school.
LASD Flyer Approval Policies:
All flyers to be distributed from an outside organization must:
- Originate from a non-profit organization with a valid 501c3 tax ID. The only exceptions are:
- For school break and summer camp offerings
- After school enrichment programs (must advertise flyer only at the school where the program is being offered)
- Support LASD's mission and framework for excellence, directly benefit LASD students, or be of intrinsic value to students or their parents/guardians
- Not directly conflict with LASD programs
- Not advocate a religious or a political viewpoint
- Not promote a program or event related to college admissions
- Not promote a fundraising event
- Not be a solicitation for participation in any research project or program
- Provide flyers in English and Spanish. Please provide an accurate translation - be advised that Google Translator is not sufficient
- Contain activities within the local geographic area
Flyers must NOT contain materials that:
- Are lewd, obscene, libelous, or slanderous
- Incite students to commit unlawful acts, violate school rules, or disrupt the orderly operation of the schools
- Promote any particular political interest, candidate, party, or ballot measure, unless the candidates or advocates from all sides are provided the opportunity to present their views to the students during school hours or during events scheduled pursuant to the Civic Center Act
- Proselytize or position the district on any side of a controversial issue
- Discriminate against, attack or denigrate any group on account of gender, race, age, color, religion, ancestry, national origin, disability or other unlawful consideration
- Promote the use or sale of materials or services that are illegal or inconsistent with school objectives, including but not limited to, materials or advertisements for tobacco, intoxicants, and movies or products unsuitable for children

Flyer Requirements to Meet the Web Content Accessibility Guidelines:
The Office of Civil Rights requires each school district's digital content to comply with the Web Content Accessibility Guidelines (WCAG) 2.0 A and AA standards (additional information on WCAG can be found WCAG 2 Overview).
In order for Peachjar to be in compliance with this requirement, both emails sent to parents through Peachjar and each school's Peachjar flyer page must be compatible with screen readers and other assistive technologies. In order to accomplish this, the text from each flyer will be copied into an editable text box. For best results, Peachjar recommends your flyer meets the following requirements:
- Be no more than 4 pages in length (required). Learn more about how to send longer flyers
- Contain clear and legible text in size 12 font or larger
- Not be a scanned or copied document
Additionally, embedded links within flyers will no longer be supported. Learn more about including links with your flyer.
The approval process for your flyer will include confirmation of WCAG compliance. Your flyer will be denied if it does not meet WCAG standards. You will be notified of the flyer denial and can resubmit the flyer after the necessary changes have been made.
Obtaining Approval
Peachjar manages eflyer distribution on behalf of our schools using the latest electronic technology. Once your flyer is posted to a school's Peachjar site, parents can view your flyer through the link on the school's website. Additionally, your flyer will be delivered to all parents' email as an embedded image, not a link. This means parents will immediately see your flyer and be able to click through to your website to sign-up.
Peachjar charges a fee for this service (only for outside organizations with participation fees) that is typically much less than the cost to copy and deliver flyers to each school. For additional information regarding Peachjar's Service Fees, click here.
To post a flyer, register at Peachjar and select your desired school(s). Your flyer is then automatically submitted to the district for approval. If approved, your flyer will be delivered to all parents and posted online.
One day each week has been set aside for electronic distribution of all flyers. Materials for approval must be submitted to Peachjar at Peachjar prior to 5:00p on Tuesday. All approved flyers will be posted each Thursday to school websites under the Peachjar link in addition to being sent out to parents' emails. Flyers will not be distributed during the following student breaks: Thanksgiving week, December recess, winter recess, spring break and summer break.
The superintendent reserves the right to rescind approval to any organization/person if a complaint is received or the organization/person is found to be in violation of instructions from this office.
